Planning a grad party can be very fun, very stressful, and many times it can be a little bit of both. This article will have lots of info on what to think about when you're planning your grad party.
Where To Start
It's best to start planning your grad party early. June is the busiest month in the party/event world and things get booked up well in advance, so it is best to get prepared well in advance. The next thing to consider will be all of the logistics; the who, when, where, and what.
When: Establish a date and time for your party. Keep in mind that many of the graduates friends will also be having parties around the same time.
Who: Who will be invited to the party? Start building a tentative list of who will be invited so you have an idea of how many guests to plan for. Keep in mind, guests will often have a number of other parties to attend on the same day. In many cases at any given time you can expect to have 1/2 to 3/4 of the invitees present as guests tend to come and go. If you are having and open house style party during peak party season the 1/2 to 3/4 rule is a good number for planning. However, you know your guests best, so plan accordingly.
Where: Where will you be hosting your party? Will it be an outdoor party, indoor party, or a combination? Will you be hosting the party at home or renting a venue? There are different considerations for each circumstance. For example, If you are planning an outdoor party at home will you rent a canopy? If so how much space do you have and what size canopy will be appropriate for your needs. Questions like this are best answered well in advance and planned for.
What: Now that we have gone through establishing some of the basic logistics of the event, we can begin to determine what quantities and items you need to procure for the event. Will you need to rent tables and chairs? Will you need table covers or linens? Will you need a canopy? What type of beverage and serving equipment will you need? Do you want any specialty items or concession machines? You can now determine what items you need and get those items locked down well in advance.
